By purchasing vendor space and participating in the Saratoga Reptile Show, you acknowledge that you have read, understood, and agree to comply with the following Vendor Agreement and Animal Policies.

1. Vendor Registration & Admission
  • Each vendor table includes two (2) Vendor Admission Bracelets.
  • Vendor bracelets must be worn and remain visible at all times while inside the event.
  • Additional vendor admissions may be purchased, subject to availability.
  • Vendor spaces may not be transferred, subleased, or shared without prior written approval from Saratoga Reptile Show management.
  • Table assignments are determined solely by show management unless a specific table selection option has been purchased.
2. New York Sales Tax Requirements

Vendors are solely responsible for complying with all applicable federal, state, and local tax laws.

All vendors required by law must possess a valid New York State Certificate of Authority (Sales Tax Certificate) and are responsible for collecting and remitting any applicable sales taxes.

Show management may request proof of registration at any time.

3. Compliance With Laws

Vendors are solely responsible for complying with all applicable federal, New York State, and local laws, regulations, permits, and licensing requirements relating to the possession, transportation, exhibition, breeding, sale, and transfer of animals and merchandise.

While Saratoga Reptile Show provides general guidance regarding New York regulations, vendors remain solely responsible for ensuring every animal and product they display or sell is legal.

4. Animal Health & Welfare

The Saratoga Reptile Show is committed to promoting responsible animal husbandry.

All animals offered for display or sale must:

  • Be alive, healthy, acclimated, and free from visible signs of illness, injury, parasites, or neglect.
  • Be maintained in clean, appropriately sized, and secure enclosures.
  • Not be overcrowded within display enclosures.
  • Be displayed in closed containers or enclosures that prevent public access.
  • Be sold in secure containers or bags suitable for safe transport.

Show management reserves the absolute right to inspect any animal or display.

Any animal determined by show management to be unhealthy, stressed, unsafe, improperly housed, or otherwise unsuitable for exhibition must be removed immediately without objection.

5. Animal Handling

For the safety of attendees and animals:

  • Members of the general public may not handle vendor animals.
  • Only the vendor, the animal's owner, or an authorized employee may handle animals.
  • Animal handling is permitted only when reasonably necessary, including demonstrations approved by management, enclosure maintenance, cleaning, or transferring an animal to its purchaser.
6. Prohibited Animals

Unless specifically authorized by applicable law and approved in writing by show management, the following may not be displayed or sold:

  • Venomous reptiles
  • Devenomized reptiles
  • Rear-fanged venomous species
  • Federally endangered or threatened species
  • Native New York reptiles or amphibians protected by law
  • Crocodilians (including skins, mounts, or other prohibited items requiring New York permits)
  • Any species prohibited under New York State law

This includes, but is not limited to:

  • Reticulated Pythons
  • African Rock Pythons
  • Burmese (Indian) Pythons
  • Amethystine Pythons
  • Anacondas
  • Nile Monitors
  • Water Monitors
  • Black-throat Monitors
  • White-throat Monitors

Vendors remain responsible for verifying current regulations prior to the event.

7. Turtle & Tortoise Regulations

Federal law prohibits the sale or distribution of turtles and tortoises with a shell length of less than four (4) inches, including wholesale transactions or sales represented as educational.

This rule applies to both display and sale.

Violations may result in immediate removal from the event and suspension or permanent exclusion from future Saratoga Reptile Show events.

8. Sales Documentation

Vendors must be prepared to provide purchasers with a receipt upon request.

Receipts should include:

  • Business Name
  • Business Address
  • Telephone Number
9. New York Salmonella Notice

When required under New York law, vendors selling reptiles or amphibians shall provide purchasers with appropriate educational information regarding Salmonella infections associated with reptiles and amphibians.

10. Vendor Conduct

Vendors are expected to conduct themselves professionally and respectfully toward customers, fellow vendors, volunteers, venue staff, and event management.

Unsafe conduct, harassment, disruptive behavior, violations of event policies, or failure to comply with management instructions may result in immediate removal from the event without refund.

11. Right of Removal

Saratoga Reptile Show reserves the right, in its sole discretion, to require the removal of any animal, product, display, vendor, employee, or guest found to be:

  • In violation of applicable law;
  • In violation of these Vendor Policies;
  • Unsafe or unhealthy;
  • Misrepresented;
  • Detrimental to the safety, welfare, or reputation of the event.

Removal may occur without refund and may result in suspension or permanent exclusion from future events.

12. Liability

Each vendor assumes full responsibility for all animals, merchandise, equipment, employees, volunteers, and personal property brought onto the event premises.

Saratoga Reptile Show, its owners, employees, volunteers, affiliates, sponsors, and the Saratoga Springs City Center shall not be liable for theft, loss, damage, injury, illness, death, escape of animals, property damage, or any other claim arising from participation in the event, except where liability cannot be disclaimed under applicable law.

Vendors agree to indemnify and hold harmless Saratoga Reptile Show and its affiliates from claims arising out of the vendor's participation, negligence, or violation of law.

13. Acceptance

By purchasing vendor space, submitting payment, or participating in the Saratoga Reptile Show, the vendor acknowledges that they have read, understood, and agree to comply with this Vendor Agreement, all published Vendor Rules, Animal Policies, and all applicable federal, state, and local laws.
